Kairos Terms and conditions as of 24 June 2026

Introduction

Welcome to Kairos. These Terms and Conditions govern access to and use of Kairos, an AI chatbot and digital ministry engagement service owned by Witbank SDA Church, a local church within the Northern Conference of South Africa, and managed by the Mission Impact Fund GenZ chatbot team.

By accessing or using Kairos through WhatsApp or any other supported channel, the user agrees to be bound by these Terms and Conditions. If the user does not agree, the service should not be used.

Nature of the Service

Kairos is intended to provide AI-assisted communication, engagement, ministry support, information-sharing, and, where appropriate, referral or handover to authorised human agents.

Kairos is a support and engagement tool and is not a substitute for emergency response, medical care, psychological treatment, legal advice, or other regulated professional services.

Eligibility and Capacity

Users may use Kairos only if they are legally permitted to do so. If a user is under the age of 18, use may be subject to additional conditions, supervision, consent requirements, or feature limitations.

User Conduct

Users agree not to use Kairos:

  • for any unlawful, abusive, harmful, fraudulent, or deceptive purpose;
  • to harass, threaten, exploit, impersonate, or defame any person;
  • to upload or transmit unlawful or harmful content;
  • to probe, test, attack, reverse engineer, disrupt, or overload the service without authorisation;
  • to attempt to gain unauthorised access to systems, accounts, prompts, tools, or data;
  • to submit the personal information of another person without lawful justification;
  • to use Kairos in a way that infringes rights, confidentiality, or privacy.

User Content

Users remain responsible for the content they submit to Kairos. Users must not provide false or misleading information, unlawful content, unnecessary sensitive personal information, or confidential third-party information unless they are authorised to share it.

AI-Generated Responses

Kairos uses artificial intelligence to generate responses. Users acknowledge that responses may be automated and may at times be incomplete, incorrect, outdated, or unsuitable, and that human review may not occur in every interaction.

No Professional Advice

Nothing in Kairos constitutes medical, psychiatric, legal, financial, or other regulated professional advice. If a user is in danger or experiencing a crisis, they should contact local emergency or appropriate support services immediately.

Handover and Human Support

In some cases, Kairos may offer or facilitate escalation to an authorised human agent, pastor, chaplain, administrator, or other support person. Handover may require relevant conversation details to be shared with the receiving authorised person or platform in order to continue support.

Privacy

Use of Kairos is also governed by the Kairos Privacy Policy. By using Kairos, users acknowledge that information may be collected, used, stored, disclosed, and transferred as described in that Policy.

Third-Party Platforms and Services

Kairos may depend on third-party services, platforms, or infrastructure, including messaging services, hosting providers, AI providers, development tools, or handover systems. The project is not responsible for the independent terms, policies, outages, conduct, security, or processing environments of third-party platforms.

Availability and Changes

Kairos may be modified, suspended, limited, or discontinued at any time, with or without notice, where reasonably necessary for operational, legal, security, ministry, or technical reasons.

Intellectual Property

All rights, title, and interest in Kairos, including service design, branding, system materials, workflows, interfaces, and underlying project content, belong to the relevant owner or licensor unless expressly stated otherwise.

Acceptable Ministry and Community Use

Kairos operates within a faith-based context. Users must engage respectfully and may not use the service to spread unlawful hate or abusive content, intentionally manipulate vulnerable persons, disrupt support processes, solicit contact data from users, or misrepresent the position or teachings of the service owner in an unauthorised way.

Security and Abuse Prevention

The project may monitor usage, investigate misuse, and take technical or administrative action to protect the service, users, systems, and associated data.

Warranties Disclaimer

Kairos is provided on an “as is” and “as available” basis to the maximum extent permitted by law. No guarantee is made that the service will always be available, accurate, complete, reliable, or suitable.

Limitation of Liability

To the fullest extent permitted by law, the owner, managers, affiliated church structures, staff, volunteers, contractors, and service partners will not be liable for indirect, incidental, special, consequential, reputational, pastoral, or economic loss arising from or related to use of Kairos, inability to use it, reliance on generated outputs, delays, outages, user misuse, or third-party platform issues.

Indemnity

Users agree, to the extent permitted by law, to indemnify and hold harmless the owner, managers, affiliated church structures, personnel, contractors, and authorised representatives against claims or losses arising from unlawful use of Kairos, breach of these Terms, violation of another person’s rights, or submission of information the user was not authorised to provide.

Suspension and Termination

Access to Kairos may be suspended, restricted, or terminated where reasonably necessary, including where these Terms are breached, misuse is suspected, legal or safeguarding concerns arise, or security risks are identified.

Record Keeping and Evidence

Records of system interactions, logs, notices, and communications may be kept for lawful security, operational, audit, safeguarding, dispute-resolution, or compliance purposes.

Governing Law and Jurisdiction

These Terms are governed by the laws of the Republic of South Africa unless the final legal review requires a narrower or different jurisdictional clause for a specific deployment model.

Changes to the Terms

These Terms may be updated from time to time. The updated version will apply from the date it is published or communicated, subject to any legal requirements for notice.
